    Reports to: Excellence Center Director

    Job Summary: The Part-Time Excellence Center Administrative Assistant provides part-time administrative support to the Excellence Center within RUF. This role assists in coordinating activities, maintains efficient communication, and contributes to the smooth functioning of the center while working part-time. The Administrative Assistant will support the Excellence Center team and help ensure its success.

    Key Responsibilities:

    Administrative Support:
    Assist with day-to-day responsibilities, including greeting visitors and handling inquiries.
    Help maintain organized records and files.
    Support scheduling of meetings, appointments, and events for the Excellence Center.
    Assist in preparing and distributing internal and external communications.

    Documentation and Reporting:
    Aid in the preparation and updating of documents, reports, and presentations.
    Assist in keeping accurate records of program activities and feedback. Contribute to the preparation of regular reports on the center's performance.

    Logistics and Facility Management:
    Assist in coordinating logistical arrangements for center activities and events.
    Monitor and replenish office supplies and equipment. Help maintain the cleanliness and organization of the Excellence Center's physical space.

    Communication and Stakeholder Engagement:
    Act as a liaison between the Excellence Center team and teachers, parents, and internal departments. Maintain a professional and helpful demeanor when interacting with stakeholders.
    Support the development and dissemination of marketing materials and communications.

    Data Management:
    Assist in collecting, organizing, and analyzing center program and initiative data.
    Ensure the confidentiality and integrity of sensitive information.

    Other Duties:

    Provide assistance with special projects and initiatives as the Excellence Center Director assigns. Stay informed about relevant industry trends and best practices.

    Qualifications:
    High school diploma or equivalent; associate's or bachelor's degree preferred.
    Some prior experience in an administrative role or related field.
    Basic proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). G Suite is an added bonus.
    Strong communication and interpersonal skills.
    Good organizational and time-management abilities.

  • We are seeking a detail-oriented and motivated individual to join our team as a part-time Data Entry and bookkeeping Specialist. The successful candidate will play a pivotal role in ensuring the accuracy and consistency of our financial and donor-related data across multiple platforms.


    Data Entry & Bookkeeping Position (Part-Time)

    Salary: $22-$25/hr (Depending on Experience)
    Hours: Highly flexible, 20 hours per week (additional volunteering hours accepted and highly desirable)

    Key Responsibilities:

    1. Carry out basic office tasks, including data entry in NationBuilder, ensuring all information is accurately saved.
    2. Update and file documents in Quip.
    3. Assist in the preparation of regularly scheduled reports.
    4. Plan and potentially attend meetings, taking detailed minutes as necessary.
    5. Retrieve donor information from third-party systems (such as Benevity) and accurately upload donation and donor details into NationBuilder.
    6. Periodically reconcile NationBuilder with third-party systems to ensure consistency.
    7. Monitor and respond to emails in a timely and professional manner.
    8. Organize and save documents, payments, and project details in Quip, Google Drive, and Db.
    9. Manage bill payments.
    10. Prepare documents, reports, and other relevant information for the annual audit and Form 990 submission.
    11. Run errands as directed by the management.
    12. Assist in grant application processes and related documentation.
    13. Open and update online applications for RUF, ensuring the status is up-to-date in all online systems.

    Qualifications:

    • Proficiency in NationBuilder, Quip, Google Drive, and Db.
