Role Overview:
The Slack Admin at RUF is responsible for managing and maintaining the Slack workspace to ensure efficient and structured communication among volunteers and project teams. This role is ideal for someone who is new to Slack but eager to learn and grow. One of the first responsibilities will be to become proficient in Slack functionalities, including channel management, user onboarding, and workflow automation.
Key Responsibilities:
- Learn & Master Slack Functionalities

Familiarize yourself with key Slack features, including:
- Creating and deleting channels
- Adding and removing users from channels
- Setting up Slack workflows and automation
- Managing pinned messages and important documents
- Using integrations (Google Drive, Trello, etc.)
- Regularly explore new Slack features that could improve RUFβs workflow.
- User Management & Onboarding
- Ensure all project leads and volunteers are added to the correct Slack channels.
- Monitor new users and assist them in setting up their profiles (photo, full name, location, role).
- Provide a short orientation for new members on best practices for communication on Slack.
- Channel Organization & Management
- Create and maintain dedicated team and project channels.
- Monitor inactive channels and archive them if they are no longer in use.
- Ensure discussions are happening in the appropriate channels (minimizing one-on-one communication for team collaboration).
- Communication & Support
- Actively monitor the βAsk for Helpβ channel and respond to inquiries.
- Provide guidance on Slack usage and best practices to members.
- Encourage open and transparent discussions within relevant channels.
- Workflow Automation & Task Management
- Set up Slack workflows and automation for common tasks (reminders, onboarding, TODO lists).
- Help teams stay organized by integrating task management tools like Trello or Asana.
- Keep an updated list of Slack guidelines and best practices.
Qualifications & Skills:
- No prior Slack experience required, but willingness to learn is a must.
- Strong organizational skills and attention to detail.
- Ability to communicate clearly and help others navigate Slack.
- Interest in process optimization and automation.
- Proactive and supportive attitude toward volunteers.
